This guide covers three things that help you keep track of orders: the daily order summary email, the order timeline inside each order, and issuing a refund from your admin.
Daily order summary email
At the end of each day your shop can email you a rundown of that day's paid orders: who bought, what they bought and the total for the day. If there were no orders that day, nothing is sent.
- Self-hosted: it is not scheduled automatically. Add it to the same crontab as your backup so it runs at 20:00 server time. On your server run crontab -e and add this line, changing the paths to match your install: 0 20 * * * /home/user/ebuilder/venv/bin/python /home/user/ebuilder/manage.py send_daily_order_summary
- Managed hosting: if you are not receiving it after a day with orders, reply to your order email and ask for it to be checked.
The email is sent to your admin email address, so check that it is set in your .env file and that your email configuration works. See Setting Up Email Configuration (Self-Hosted).
The order timeline
Open any order under Orders in your admin. The order page shows a read-only timeline of everything that happened to it:
- Order created
- Payment succeeded or payment failed
- Status changed
- Refund issued
It answers questions like "was this refunded?" or "did the payment go through?" without you having to open Stripe. It is also your record if a customer raises a dispute.
Refunding from the admin
- Go to Orders and tick the paid orders you want to refund.
- Choose the refund action from the Action menu and confirm.
The refund is made through Stripe and recorded on the order's timeline. Check the order afterwards to confirm the timeline shows Refund issued.
Exporting orders to other tools
If you use a CRM or tracker, the shop has a read-only orders endpoint that your own tools can call on a schedule to collect paid orders. You create and regenerate its key under Orders Api Keys in the admin. Treat that key like a password.
